Accessing your information - Subject Access Requests

The UK General Data Protection Regulation gives you the right to access your personal data. This is known as a Subject Access Request.

We will almost always provide you with a copy of the information we hold about you free of charge; however, if we consider that your request is unreasonable or excessive, or if it's a repeat request, we may charge you for the administrative cost of providing this information. If the Council holds a lot of information about you we may ask you to specify what  you are looking for so that we can fulfil your request.

We will try to respond to your Subject Access Request without delay, and at the latest within 28 days of receiving it. However, in the case of complex or very large requests we can extend the time we have to comply by up to two months; if it's necessary for us to do this we'll notify you within the first 28 days.

In order to process your Subject Access Request we need to see copies of two pieces of identification, one of which should ideally be photographic.

How do I make a Subject Access Request?

Apply online

Alternatively, you may wish to download and complete our Subject Access Request Form (PDF, 196 KB).

It's not necessary for you to apply online or complete this form in order to submit a Subject Access Request, but they provide a useful guide to what details we need in order to respond. If you would like further guidance about how to submit a request for personal information, contact the Information Governance team on 01738 477933 or at DataProtection@pkc.gov.uk.

If you're unhappy about how the Council has dealt with your Subject Access Request, please contact the Data Protection Officer in the first instance; contact details appear below. You have the right to contact the Information Commissioner's Office if you remain dissatisfied.
